Privacy Policy

Last updated: October 29, 2026

This Privacy Policy explains how Blackburn Mentoring collects, uses, shares and protects information when you visit blackburnmentoring.com, book a free intro call, use the Blackburn Mentoring client app, or work with one of our mentors (together, the “Services”). It works together with our Terms of Service and our Payments, Cancellation and Refund Policy.

The short version: we use your information to provide mentoring and run the Services. We do not sell your information. You can ask us to see, correct or delete your information at any time by emailing contact@blackburnmentoring.com or calling (888) 305-5422.

1. Who we are

Blackburn Mentoring is a business name of Blackburn Recovery LLC (“Blackburn Mentoring,” “we,” “us” or “our”). We offer one-on-one mentoring by video anywhere in the United States, and in person in Los Angeles on plans that include it. Blackburn Mentoring provides mentoring, not health care. We are not a health care provider, so the federal health privacy law HIPAA generally does not apply to the Services. We still protect your information as this policy describes.

  • Address: 12326 Venice Blvd, Los Angeles, CA 90066
  • Phone: (888) 305-5422
  • Email: contact@blackburnmentoring.com

2. Information we collect

Website visitors

When you visit our website, we and our analytics provider collect basic usage information, such as the pages you view, the links you click, the type of device and browser you use, and general location derived from your internet address. See “Cookies and analytics” below.

If you call, email or contact us through the website, we collect what you share, such as your name, phone number, email address and message.

Intro call and assessment

When you fill out our “Get started” assessment form, we ask for:

  • Your name, email address, phone number, and city and state.
  • Who the mentoring is for (yourself, a family member or loved one, or a client you are referring) and, if it is for someone else, their name.
  • Your preferred meeting format.
  • A description of the current situation, the areas where help is wanted, and goals.
  • Optionally, whether there is a therapist, counselor or other support involved.
  • The best time to reach you and how you heard about us.
  • Your consent to be contacted.

When you book a free intro call, we also collect your choice of a phone or video call, any note you add, your time zone and the time you pick. Your assessment and intro call booking are linked by email address so our team can prepare for the call.

If you fill out the form about someone else, such as a family member or a client you are referring, please share only what you have the right to share, and let that person know you contacted us.

Account and app use

When you create an account or accept an invitation, we collect your name, email address, password (stored in protected form), time zone and the goals you share. As you use the app, we store:

  • Your profile details, such as a profile photo if you add one, and optionally a phone number.
  • Your meetings: dates, times, format (video or in person), status, and any cancellations or moves.
  • Messages between you and your mentor.
  • Session notes and summaries your mentor writes, and the steps and goals you work on.
  • Notes our team keeps about your mentoring, which are visible only to your mentor and our team.
  • Your settings and choices, such as notification preferences, family sharing, AI notes preferences and your standing weekly time.
  • Requests you make, such as a request for a different mentor, and any optional rating you give us.
  • Your answers to optional mid-week check-ins, and a short summary of a practice conversation if you choose to share one with your mentor.

Profile photos are resized and re-saved when you upload them, which removes hidden data such as camera details and GPS location.

Meetings and video

Video meetings take place in a private session room provided by our video provider, Daily. To connect you, Daily processes your audio and video in real time, along with technical connection information. Blackburn Mentoring does not record video meetings.

The app keeps track of when people join and leave the session room, so that, for example, your mentor can be alerted if you are waiting. If the connection fails, the room may offer to switch to a phone call. It shows your phone number to the other person only if you have saved a number and allowed calls during sessions in your settings. For clients, this setting is off unless you turn it on. If phone dial-in is offered and you use it, Daily handles that call.

Optional AI notes and live captions

AI notes are always optional. They are used only when both you and your mentor agree in the session room, either by saying yes for that meeting or by a standing “Usually yes” setting. Either of you can turn AI notes off for any meeting. Saying no to AI notes never affects your access to mentoring. The app keeps a record of who agreed, when, and whether it was a yes for that meeting or a standing setting.

When AI notes are on:

  • Daily transcribes the call.
  • After the meeting, the transcript is sent once to Anthropic, an AI provider, to prepare a draft summary and suggested next steps. Anthropic processes it only to prepare the draft and does not use it to train its AI models.
  • The transcript is then deleted from Daily. It is never saved on our website.
  • The draft is visible only to your mentor and authorized Blackburn personnel with a need to administer the service, and it is removed after 30 days.
  • Your mentor reviews and edits the draft. Nothing from it reaches you unless your mentor saves it as the meeting summary, which then becomes part of your meeting record like any other summary.
  • Guests are never transcribed. AI notes stay off while a guest is in the call, and if a guest joins before a draft is made, the transcript is deleted and no draft is made.

When live captions are offered and turned on, Daily transcribes the call in real time so captions can appear on screen.

AI help features

Some other features in the app use AI from Anthropic, an outside company, to draft text: a short private brief that helps your mentor prepare for a meeting, a draft of the recap your mentor sends after a meeting, a draft family update that your mentor edits before sending, and optional practice conversations in which AI plays the other person. Nothing about you is sent for these features until you choose Allow on the “Use AI help?” notice in the app, and you can change your choice at any time in Settings, AI help. Features that involve a client and a mentor need both people to allow it. Without it, each feature works in a plain version without AI.

When you allow it, we send Anthropic only what each feature needs, such as goals, check-in answers, mid-week check-in notes, approved meeting summaries and steps, and the messages you write in a practice conversation. We remove last names, email addresses and phone numbers first, and we never send the messages you and your mentor exchange in the app, payment details or anything about family members. Anthropic processes this only to prepare the draft and does not use it to train its AI models. Your mentor reviews every draft before anyone else sees it. Practice conversations are not kept; you can choose to share a two sentence summary with your mentor. Our team also uses AI to summarize program counts and to write a short note about mentor matches, without sending any names. More detail is on our How we use AI page at blackburnmentoring.com/how-we-use-ai.

Payments

Payments are handled by Stripe, our payment processor. You enter your card details on Stripe’s secure checkout page. We do not receive or store your full card number. We store the Stripe customer and subscription identifiers for your account, along with your plan, billing dates, payment status and the name and email address of the person who pays. Stripe collects and uses payment information under its own privacy policy.

Communications

We keep records of the emails we send you, such as meeting reminders, booking changes, payment notices and monthly recaps. If you opt in to text messages, we store your mobile number, your opt-in choice and whether you have replied STOP. Each text we send is logged with only the last four digits of the phone number. If you turn on push notifications on a device, we store that device’s push subscription details (at most 10 devices per person). If you use our iPhone or Android app and allow notifications, we store that phone’s notification token, its type (iPhone or Android) and when it was last used (also at most 10 devices per person).

Family members, guests and payers

Some features involve people other than the client. When a client or our team invites them, we collect:

  • Family members: name, email address and relationship to the client, plus when they were invited and last visited the family page.
  • Guests in a meeting: name, email address and relationship to the client, plus when they joined the session room.
  • Payers: name and email address, plan and payment details as described under “Payments.”

Family members and guests do not have accounts. They get a private link that opens only the limited information described in section 4.

Minors

Clients under 18 use the Services only with a parent’s or legal guardian’s consent. A parent or guardian usually provides the intro and payment information, and the young person uses the app. See section 10.

3. How we use information

We use information to:

  • Respond to you, hold intro calls and recommend a plan.
  • Match you with a mentor and provide mentoring, including meetings, messages, notes, summaries and steps.
  • Schedule meetings and send reminders, booking updates and notifications in your time zone.
  • Process payments, send receipts and renewal notices, and handle failed payments.
  • Provide the optional features you or your team turn on, such as AI notes, captions, guests, family sharing and texts.
  • Send a monthly recap of your meetings and steps, which you can turn off in Settings.
  • Ask, from time to time, for an optional private rating of your experience.
  • Keep the Services secure, prevent abuse (for example, by limiting repeated sign-in or booking attempts from the same internet address) and fix problems.
  • Understand how visitors use the website, in aggregate, so we can improve it.
  • Meet legal, tax and accounting obligations, and protect the safety of clients, mentors and others.

4. How we share information

We do not sell your personal information. We do not share it for cross-context behavioral advertising.

Service providers

We use trusted service providers to run the Services. They process information on our behalf to provide their service:

  • Stripe, for payments.
  • Daily, for video meetings, phone dial-in and, when turned on, transcription for AI notes and live captions.
  • Anthropic, to prepare AI note drafts and the AI help drafts described above, only with the permissions described above.
  • Twilio, for text messages, if you opt in.
  • An email delivery provider, to send our emails.
  • Google Analytics, for website analytics.
  • Our website host, which stores the website and app data.
  • Browser and device makers’ push services (for example, Apple, Google or Mozilla), which deliver push notifications if you turn them on. Push notification content is encrypted before it is sent.
  • Google Firebase Cloud Messaging and Apple Push Notification service, which deliver notifications to our iPhone and Android app if you allow them. Notifications show names and times only.

Your mentor and our team

Your mentor and our administrators can see the information needed to support you, including your messages, meeting records, notes and steps. Your assessment and intro call details are visible to the team member who hosts your intro call and to our administrators.

People you choose

  • Family sharing is off by default. If you turn it on, the people you invite get a read-only family page with your first name, your mentor’s public profile, meeting dates and statuses, written family updates and simple monthly counts. Your messages, session notes, summaries, private notes, steps and goals are never shown there. You can remove a family member at any time, which ends their access right away.
  • Guests you invite see only their own name, the meeting time, the mentor’s public profile and your first name. A guest’s link works only from 15 minutes before the meeting until 30 minutes after it ends, and removing a guest stops it right away.
  • A payer receives payment emails, receipts and renewal notices and can see the plan and invoices. Paying does not give a payer access to your messages, notes or summaries. If you choose to share your monthly recap with your payer in Settings, the payer receives a copy, which includes the number of meetings held, the number of steps completed, and the first sentence of your mentor’s notes after each meeting. You can turn this off at any time.
  • For clients under 18, our team can allow the parent or guardian who pays for the plan to see the family page without the client turning on sharing. Our team can also set up parent updates: a parent or guardian receives the mentor’s written family updates by email and can open the family page. The client is told in the app and receives a copy of every update. A parent sees only what the family page shows: meeting dates and attendance, written family updates, and the plan and receipts if they pay. Messages, session notes, summaries, steps and goals stay private between the client and the mentor, except as described under “Legal requirements and safety” below.

Sponsors

If an employer, college or other organization sponsors your plan, any reports we give that sponsor stay at an aggregate engagement level. We do not share the content of your meetings or messages with a sponsor.

Legal requirements and safety

We may disclose information if we believe in good faith that it is reasonably necessary to address an imminent risk of serious harm to a client or someone else, to report suspected abuse or neglect of a child, an elder or a dependent adult, to meet a legal obligation such as a valid subpoena or court order, to prevent fraud, or to protect our rights. When it is safe and lawful to do so, we will tell the client.

Business changes

If Blackburn Mentoring is involved in a merger, sale or transfer of its business, information may be transferred as part of that transaction, and this policy will continue to apply to it.

5. How long we keep information

We keep information for as long as we need it to provide the Services and for legitimate business, legal, tax and accounting reasons. Some specific periods:

  • AI notes transcripts are deleted from Daily as soon as the draft is made, or as soon as it is clear a draft cannot be made. They are never saved on our website.
  • AI notes drafts are removed 30 days after they are ready. A summary your mentor saves stays in your meeting record.
  • Our log of text messages sent (which shows only the last four digits of the phone number) is deleted after 180 days.
  • Records of payment notices received from Stripe are deleted after 180 days. Stripe keeps its own payment records under its policies.
  • Guest invitations are deleted after the meeting they were for has ended, or when the weekly time they were for ends.
  • Payment links sent to a payer stop working after 14 days. Family invitation links stop working after 14 days, and a family member’s sign-in on a device lasts up to 30 days.
  • Push subscriptions for a device are removed when you turn notifications off on that device or when your account is archived.

When a client stops working with us, our team may archive the account. An archived account cannot sign in, and it stops receiving reminders, texts and push notifications. Archiving does not delete the account’s records. You can ask us to delete your information at any time, as described in section 7.

6. How we protect information

We use reasonable safeguards to protect your information. For example, the app is private and requires sign-in, each video meeting uses its own private room, and links for family members, guests and payers are signed and expire. Passwords are stored in protected form, and payment card details are entered directly with Stripe. Access to client information is limited to the client’s mentor and our administrators. No system is perfectly secure, so please keep your password private and tell us right away at contact@blackburnmentoring.com if you think someone else has accessed your account.

7. Your choices and rights

Choices in the app

  • Update your name, photo, phone number, time zone and notification settings in the app.
  • Turn AI notes off for any meeting, or change your standing AI notes preference.
  • Turn family sharing on or off, and remove family members or guests at any time.
  • Turn the monthly recap off, or stop sharing it with your payer.
  • Turn texts off by replying STOP, and push notifications off in Settings or your device settings.
  • Turn AI help on or off in Settings, AI help.
  • Delete your account yourself in Settings, Delete account. You are signed out right away, and within 30 days we remove your account and personal information. We keep the records of meetings that already happened for the other person, shown without your name, and our payment processor keeps payment records as the law requires. Details are at blackburnmentoring.com/delete-account.

Requests to see, correct or delete information

You can ask us to:

  • Tell you what personal information we have about you and give you a copy of it.
  • Correct information that is wrong.
  • Delete your information.

To make a request, email contact@blackburnmentoring.com or call (888) 305-5422. We will confirm your identity before acting on a request, usually by contacting you at the email address or phone number on your account. We may keep some information when we are required or allowed to by law, for example payment records we must keep for tax purposes, or information needed to resolve a dispute or prevent fraud. If we cannot fully meet a request, we will tell you why.

California residents

If you live in California, you have the right to:

  • Know what personal information we collect, use and disclose, and to get a copy of it.
  • Ask us to delete personal information we collected from you.
  • Ask us to correct inaccurate personal information.
  • Not be discriminated against for using any of these rights. We will not deny you the Services, charge you a different price or give you a different quality of service because you made a request.

We do not sell personal information or share it for cross-context behavioral advertising, and we have not done so in the past 12 months. We use information about your situation and goals only to provide the Services you ask for.

You can submit a request by email to contact@blackburnmentoring.com or by phone at (888) 305-5422. You may use an authorized agent to make a request for you. We may ask the agent for proof that you gave them signed permission, and we may ask you to confirm your identity with us directly. A parent or guardian may make a request for a child under 18.

8. Text messages and push notifications

Text messages are optional. You receive them only if you opt in with your mobile number. We may text you a reminder before a meeting and a note when the other person is waiting in the session room. Reply STOP at any time to stop texts, and reply START to turn them back on. Message and data rates may apply. These texts are automated, and how often you get them depends on your meetings. Agreeing to texts is not a condition of buying a plan. Carriers are not responsible for delayed or undelivered messages. For help, call (888) 305-5422. We do not sell your mobile number or share it with others for their marketing.

Push notifications are optional and are turned on per device. They show names and times only, never the text of your messages, notes or steps. You can turn them off in the app’s settings or in your device settings.

Email is different: when you receive an email about a new message, the email includes the message text, and when your mentor shares session notes, the email includes the summary. Please keep your email account secure.

9. Cookies and analytics

Our website uses Google Analytics to understand how visitors use the site, such as which pages are viewed and when visitors tap links to call, email, book an intro call or get started, or submit the assessment form. Google Analytics uses cookies and similar technology, and Google processes this information under its own privacy policy. We use this information in aggregate to improve the site.

You can opt out of Google Analytics by installing Google’s opt-out browser add-on at https://tools.google.com/dlpage/gaoptout, or by blocking or deleting cookies in your browser settings. Blocking cookies does not stop you from using the website.

We also keep our own simple counts of page views and of taps to call, text or email us and form submissions, together with the general source of the visit (for example a search engine, an AI assistant such as ChatGPT, another website or an ad) and the page the visit started on. These counts are anonymous: they use no cookies, do not store your IP address and do not include anything you type into a form. The source of your visit is kept only in your browser’s session storage for that tab and is cleared when you close it.

The app also uses cookies and browser storage that it needs to work, for example to keep you signed in, to keep a family member signed in to the family page for up to 30 days, to remember small preferences on your device, and to save a mentor’s unsent summary draft on their own device. The app’s offline support stores only the app’s own files on your device, not your messages or other private information.

10. Children and minors

The Services are not directed to children under 13, and we do not knowingly collect personal information from a child under 13 without verifiable consent from a parent or guardian. A person under 18 may use the Services only with the consent of a parent or legal guardian, who accepts our Terms of Service on their behalf. If you believe a child has given us information without a parent’s or guardian’s consent, please contact us at contact@blackburnmentoring.com or (888) 305-5422 and we will delete it.

11. Not for emergencies

The Services, including messages in the app, are not monitored around the clock and are not for emergencies. If you are in crisis or thinking about harming yourself, call or text 988 (the Suicide and Crisis Lifeline). If you or someone else is in immediate danger, call 911.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make a material change, we will tell you by email or in the app before it takes effect. The “Last updated” date at the top shows when this policy last changed.
